Position Description:

The Office Manager is a member of the Finance and Administration Team, with day-to-day responsibility for the smooth functioning of key organizational infrastructure systems. This position is an excellent opportunity for a well-organized individual who is ready to take on new challenges, multi-task, collaborate and work independently. The role is supervised by and supports the Chief Financial Officer and works closely with staff across lnterAction. lnterAction is looking for a team player and self- starter who enjoys an office of 50+ employees, fellows and interns.

Essential Functions:

Responsibilities lie in three areas: Human Resources, Technology and Administrative Support. Representative responsibilities include:

Human Resources

· Ensure timely processing of personnel actions related to employee benefits, recruitment and hiring, information updates, and separation.

· Start/manage annual and periodic performance review process.

· Manage employee onboarding, orientation and exit processes.

· Coordinate intern program with staff of other teams.

· Assist CFO in annual review of benefit plans and related open season activities.

· Maintain security, accuracy, and availability of employee information; manage physical and electronic human resources information systems.

· Review payroll changes and ensure the accuracy before checks are issued. Keep accurate payroll records.

· Ensure timely processing the submittion of retirement contributions.

· Collaborate with other staff and teams, with members, and with other InterAction stakeholders

Administrative Support

· Ensure availability and functionality of office equipment/systems – telephones, copy machines, postage meter, conferencing, audio-visual, etc.

· Work with CFO on reviewing and maintaining organizational contracts (e.g. travel, mobile phones) for best service at best cost

· Work with CFO to ensure that organizational operational policies are in place and up to date

· Manage public-facing suite entry area – receptionist scheduling/coverage, lobby/reception area, “front of house” conference rooms, coordinating with other teams as needed.

· Maintain functional and attractive office environment; serve as liaison with landlord.

Requirements and Competencies

· Bachelor’s degree, three years working experience in HR/Administration. Knowledge of and experience with Human Resource Policies/Principles. Knowledge of Microsoft Office.

· Ability to communicate clearly, verbally and in writing.

· Interest in creating systems and processes that are efficient and effective for multiple stakeholders.

· Strong people skills with demonstrated ability to work across an organization.

· Problem-solving ability with a focus on solutions that are sustainable.

· Experience in a not-for-profit environment preferred.

Supervisory Responsibilities:

The position will manage/supervise the Receptionist.
